Five questions to ask before you automate with n8n

Permissions, exceptions and ownership matter as much as the workflow canvas. Use these questions before building.

A visual workflow can be quick to assemble. Making it dependable requires decisions about data, access and failure. Before connecting your systems in n8n, work through these five questions.

1. What event should start the workflow?

Be precise about the trigger. A new lead, an updated lead and a lead entering a particular stage are different events. Decide how to handle repeated notifications and records that arrive late.

2. Which system owns each piece of information?

Choose a source of truth for customer details, pipeline stage and task status. If two systems can update the same field, define which takes priority. Otherwise a workflow can keep copying conflicting values back and forth.

3. What access does the workflow actually need?

Use credentials with only the permissions required for the task. Identify who owns them and how they are replaced when access changes. Keep sensitive information out of routine notifications and limit what execution logs retain.

4. What happens when one step fails?

An unavailable API should not leave the team guessing. Decide which errors can be retried, which need a person and where alerts appear. Make repeated execution safe so a retry does not send a second email or create a second record.

5. Who maintains it after launch?

Name an owner, document the connected systems and agree on a review routine. Test changes with representative records before enabling them for the wider team. A workflow is easier to trust when someone knows how to pause it and recover from an error.

Build the smallest useful version first. A few well-understood steps with clear ownership are a better foundation than a large workflow nobody feels confident changing.
