Our client is a content agency that creates work for sports and entertainment brands. Every project starts with a creative brief, usually a slide deck or a doc, and every brief had to become a task in Wrike before the team could start work.
That handoff was manual. A producer read the brief, retyped the details into Wrike, then set up the project folders in Box. It took about 15 minutes per brief, every time, with room for errors at each step.
The work wasn’t hard. It was repetitive, and it sat between the brief and the actual work.
Discovery
We mapped how a brief moved from client to production: where it arrived, who touched it, and which fields Wrike needed before a task could start. Most of the details were already in the brief. They were just in the wrong format.
The agency also had firm security requirements around client material, so the build had to run inside the tools the team already used and clear their review before going live.
What we built
We built SmartFlow, a Google Workspace add-on that works where the briefs already live. Producers run it from inside the brief, and it:
reads briefs in Google Slides and Docs, using Claude for the text and Gemini for the visuals;
fills 12+ Wrike fields and creates the task;
sets up the matching Box folders;
leaves the producer to review the result, not retype it.
There’s no new tool to learn, and the agency’s security requirements were built in from the start.
Impact
Turning a brief into a ready-to-work Wrike task went from about 15 minutes to under 60 seconds. After launch, SmartFlow rolled out to more than 30 people across the agency.
The bigger change is where projects start: from a complete, consistent task instead of a retyped one.
